Role Description
As the Executive Secretary, you will play a key role in supporting and advising the Central Works Council (COR) during a critical transformation period. As the division transitions into a standalone company, your focus will be ensuring a smooth, professional, and legally sound employee participation process. You’ll act as a central point of coordination between the COR, employees, and management, helping to maintain alignment and effective communication throughout this organizational shift.
Responsibilities
- Managing the COR’s secretariat, including organizing meetings (with management, committees, and project groups), coordinating agendas, and ensuring timely follow-up on decisions.
- Recording meeting minutes, drafting official documents, and maintaining accurate archives for the COR and related committees.
- Organizing onboarding, training, and development for new and existing COR members.
- Coordinating meeting logistics, including facilities, invitations, and technical tools.
- Managing the annual budget and planning cycle for the COR in collaboration with leadership.
- Overseeing the election process and supporting the election committee as secretary.
- Drafting formal COR responses, including advice, consent matters, and internal initiatives.
- Partnering with internal advisors and stakeholders to support and improve employee representation.
- Providing guidance on Dutch Works Council legislation (WOR), collective agreements (CAO), and relevant labor law developments.
- Leading the COR’s communications, including maintaining the MS Teams environment, publishing regular digital updates, and producing the annual COR report.
Requirements
- Bachelor’s degree (HBO level) in Law, Human Resources, Business Administration, or a related field.
- Minimum of 5 years' experience in a similar (Executive Secretary) role within complex, international organizations.
- Demonstrated knowledge of Dutch Works Councils Act (WOR) and collective labor agreements.
- Strong project management skills and experience working in dynamic environments.
- Excellent written and spoken proficiency in both Dutch and English.
- Strong interpersonal and advisory capabilities, with the ability to engage stakeholders across all organizational levels.
- Independent, solution-focused, and proactive with a passion for organizational development and employee representation.
- Creative, people-oriented, and entrepreneurial mindset with a readiness to drive change and innovation.
- Able to remain neutral while balancing different stakeholder interests.
