Role Description
The client is seeking a detail-oriented and proactive Administrative Coordinator to support day-to-day operations, with a focus on document management, communication handling, and general administrative tasks. This role serves as a key liaison between departments, regulatory bodies, and external partners, ensuring that documentation and processes are executed efficiently and in compliance with relevant standards. Ideal for candidates with strong organizational and language skills, the position offers exposure to the pharmaceutical industry and opportunities for cross-functional collaboration. 

Responsibilities

  • Serving as the primary point of contact for assigned mailboxes, ensuring timely and professional handling of incoming communications,
  • Evaluating and prioritizing incoming stakeholder requests to ensure prompt and accurate responses,
  • Overseeing the stamping, signing, and preparation of documents needed for CPP (Certificate of Pharmaceutical Product), MAH (Marketing Authorization Holder) approvals, and regulatory submissions,
  • Preparing and compiling documents required for consular services in line with official guidelines,
  • Formatting, printing, scanning, and dispatching documents as required by stakeholders and departments,
  • Managing the end-to-end process of CPP applications, including preparation for consular and health authority submissions,
  • Assisting with scheduling meetings, calendar coordination, and general correspondence across departments,
  • Supporting basic financial operations, including invoice processing, expense tracking, and budget-related tasks. 

Requirements

  • High school diploma or Bachelor's degree, preferably in Business Administration,
  • Professional proficiency in Dutch; advanced English required; knowledge of German and/or French is an asset,
  • Strong organizational and communication skills with a keen eye for detail,
  • Ability to manage multiple tasks and deadlines in a structured and efficient manner,
  • Comfortable using standard office tools and managing digital document workflows,
  • Previous experience in or exposure to the pharmaceutical industry is preferred, but not required
