Job Description

In this role you will provide administrative support to ensure efficient operation of Quality Assurance and Regulatory Affairs office in Amsterdam.


  • Monitor and manage the shared email inbox for Quality and Regulatory requests by allocating incoming customer emails and tasks to the right Quality Assurance or Regulatory colleagues
  • Register requests (complaints and customer regulatory requests on the dedicated overview
  • Send out reminders for deadlines
  • 1st line Interactions with customers and colleagues; answers phone calls, schedules meetings and supports visitors
  • Data entry (data provided by Quality Assurance and Regulatory colleagues)
  • Organizing meetings and travel arrangements, responding to inquiries,
  • Coordinate and schedule all document control reviews and audits utilizing the Quality Management system.
  • Lead the creation of standardized forms
  • Carries out general administrative duties such as filing, typing, copying, binding, scanning etc.
  • Exhibits polite and professional communication via phone, e-mail, and mail.
  • Supports team by performing tasks related to organization and strong communication.


  • Fluent in English. Language skills in a further language are preferred (not required), e.g. Dutch, German or French
  • Experience with administrative work, meeting minutes, spreadsheets, document organization and electronic filing
  • Systematic and self-reliant working method
  • Ability to work effectively and efficiently with demanding, team based work environment
  • Effective working relationship with end-users, plant personnel, internal customer working relationship
  • Ability to prioritize the workload under high and low pressure
  • Attention to detail
