The Role:
We’re seeking an experienced Project Assistant for the Site Engineering team. In this dynamic role, you will provide administrative support at both the departmental and project levels, manage documentation, and coordinate essential processes to ensure smooth project execution.
Key Responsibilities:
-Prepare purchase orders and have them authorized by the department’s designated authorities.
-Generate weekly My-Learning reports and initiate necessary follow-up actions.
-Create and manage job positions ("Jobs") in Acceleration (Agile).
-Review invoices and submit them for approval to the responsible parties.
-Manage onboarding procedures for new projects and employees.
-Maintain project administration for various ongoing projects.
-Archive completed projects and maintain a systematic projects archive.
-Manage office supplies inventory to ensure seamless operations.
-Supervise and guide additional administrative staff as needed.
-Coordinate the transfer of technical data to clients during project handovers.
-Support SE staff with Enablon tasks, My-Learning assignments, and updating the project dashboard.
-Maintain the Tier-1 process for the SE department.
-Assist with setting up new projects in diverse systems.
Requirements:
-MBO-level administrative/financial education.
-At least 5 years of experience in a similar administrative role.
-Proficiency in MS Office tools: Outlook, Word, Excel, and PowerPoint.
-Strong communication skills, both written and verbal.
-Fluency in Dutch and English professional level of German.
-Customer- and service-oriented with a proactive and flexible approach.
-Basic understanding of GMP/GLP and regulations related to the pharmaceutical industry.
-High level of accuracy and attention to detail.
