The Company
Our client is one of the leads from the Biotechnology industry who try to improve patients’ lives, by distributing their medicines to hospital and pharmacies in 100 different countries in the world, to over 10 million patients, in Europe, Turkey, Middle East and Africa Regions.
 

Role Description:
As an Administrative Coordinator  for the franchise team, you will provide essential support to ensure the smooth execution of congresses, meetings, vendor management, and promotional activities. In this role, you’ll serve as a key liaison between internal stakeholders and external suppliers, ensuring compliance with processes and deadlines.
 

Responsibilities:
-Organize and coordinate congresses, including agreements, POs, event logistics, and providing information to stand crews.
-Plan and manage local meetings (without HCPs), handling venue booking and event organization.
-Process SAP invoices, create POs, follow up on vendor payments, and support vendor creation when necessary.
-Manage promotional materials in Promomats, ensuring content approval and distribution readiness.
-Order and distribute event and team materials via DSV; collect and distribute mail.
-Maintain team schedules, including updating congress overviews and Outlook calendars.
-Provide administrative support to the team, handling email/phone inquiries and assisting Franchise Team Leads.
-Facilitate onboarding for new colleagues and coordinate HR-related activities, such as anniversaries or gifts.
-Screen and manage the “Contact Us” inbox, forwarding relevant inquiries to appropriate stakeholders.
-Regularly liaise with internal teams, local ACs, and ACCP ACs through calls, meetings, and face-to-face interactions.
 

Requirements:
-Proficiency in Office 365 tools.
-Dutch and English language proficiency.
-Proactive, problem-solving, and multitasking abilities.
-Flexibility, team spirit, and a service-oriented mindset.
-Strong communication and organizational skills.
